In our last article, “What is an apostille and when do you need one?” we briefly explained the authentication and legalization process.

In this article, we will answer some of your most frequently asked questions about our services.

1. Why should I choose Red Seal Notary to handle the authentication and legalization of my documents?

Red Seal Notary is Canada’s leading expert in all matters relating to authentication and legalization. We have years of experience working with Canadian government authorities, as well as with foreign embassies and consulates. Our team can navigate the complex and often time-consuming steps involved in the authentication and legalization process to ensure your documents are properly prepared for use in a foreign country.

2. What steps must I take to use your services?

Red Seal Notary’s authentication and legalization services are handled by our Head Office in Toronto. Just give us a call or send us an email and we will send you a package with step-by-step instructions.

3. What documents should I send to you?

a) The requesting party will tell you what documents they require. If they ask for copies of your birth certificate, marriage license, divorce certificate, passport, college diploma, criminal background check, etc., you can simply courier your documents to our Head Office. Our notary will make certified true copies, after which, we will hand-deliver your documents to the appropriate government authorities to be authenticated and legalized.

b) If you have been asked to provide an affidavit, statutory declaration, or any other document requiring your signature, you will need to sign it in front of a notary prior to submitting it to Head Office. Please call us at 1-888-922-7325 to schedule an appointment.

4. I am not comfortable sending my original documents by courier. Do I have any other options?

Most of our clients send us their original documents, which we handle with the greatest of care. However, if you do not wish to send your original documents by courier and you live in Toronto or the GTA, feel free to hand deliver them to our Head Office. Alternately, you can schedule an appointment with one of our notaries to have certified true copies made of your documents prior to submission. You can then send us the certified true copies instead of the originals. Please call 1-888-922-7325 to schedule an appointment.

5. Can you authenticate and legalize documents that have already been notarized?

Yes. If you have had your documents notarized by another notary public, Red Seal Notary can still provide authentication and legalization services.

6. How long does it take for Red Seal Notary to have my documents authenticated and legalized?

It typically takes 10 to 15 business days, give or take a day or two.

7. What are your fees?

Authentication of Documents:

  • $149.00 (+ applicable government fees and applicable taxes)
  • $49.00 for each subsequent authentication
  • $50.00 to $75.00 to hand deliver your documents to the appropriate government authorities

Legalization of Documents:

  • $149.00 to $ 249.00 (+ applicable foreign government fees and applicable taxes)
  • $49 to $99.00 for each subsequent legalization (+ applicable taxes)

Shipping

  • Courier fees are additional.

Service Charges

  • Bank charges for money orders or certified cheques to pay for consulate or embassy stamps are additional.
  • A 5% administrative fee applies to all consulate or embassy fees of $250.00 or more.

8. Can you ship my authenticated and legalized documents directly to the country requesting them?

Yes. Red Seal Notary will be pleased to courier your documents directly to the requesting party if that is your preference.

9. Do you provide translation services?

If you choose Red Seal Notary for your authentication and legalization needs, translation services are also available as part of our authentication and legalization package.

    Dear Red Seal Notary
    Company,
    I have obtained a
    Ontario Secondary
    School Diploma and I
    am currently in need of
    certified true copy of it
    to be suitable to
    lagalized in the Global
    Affairs of Canada.
    However, by December
    of last year, I have sent
    my original diploma
    into the Global Affairs
    of Canada and
    basically they have
    sent me back my
    diploma has been
    legalized but they used
    the regular mail so the
    parcel has been
    mislaid. From that
    time on, I have lost my
    original diploma.
    However, I still need to
    certified true copy of it
    from a Canadian
    Notary Public, what
    can I do to make it
    work? My diploma is
    longer be able to
    reissue. I have also
    asked my high school
    to gave a stamp
    certified true copy
    from the HEAD
    ACADEMIC SERVICES
    and it look like the
    attached. Please help
    me. Hope to hear from
    you soon due to the
    fact that the deadline
    to submit my diploma
    has been legalized is
    coming soon, my
    intake is October.
