Certified Copies of Important Documents
December 5, 2014

If you have ever lost your wallet, you know how important it is to have copies of important information like your Driver’s Licence, other identification, and credit card numbers safely tucked away. The same principle applies when you are asked to provide an important document for an application of any sort. Imagine if you had to send in your original passport and it was lost in the mail. You would have to add getting a new passport to your lengthy to-do list!
Fortunately, in most cases, a Certified True copy of your important documents will suffice. Certified true copies of your identification will certainly make it easier to replace everything in that lost wallet event. It seems like it’s just a few simple words: “I certify this to be a true copy of the original,” but when you need them on your document, they can seem like the most important words in the English language.
When is a Certified True Copy Required?
Certified copies are commonly required for academic, employment, and government applications. A foreign University may want certified copies of your academic transcripts. An employer may want certified copies of your vocational documents. A regulatory body may want certified copies of identity and qualification documents before issuing you a license.
Applying for a visa for another country is another common case that requires Certified True copies of documents like your passport, your birth certificate, a marriage certificate if your name has changed, and if applicable, your military service record. You must check the visa requirements for the country, even if this isn’t your first visit. The requirements and regulations change often, and visa offices will not make an exception or refund the fees you have paid if you do not provide certified copies of all required documents.
You may also be required to submit Certified True copies of academic records to apply for some post-secondary programs in Canada and abroad. This can include proof of citizenship and province of residency, transcripts, and degrees or diplomas. The already stressful and laborious process is intensified by the need to run around to find someone in your circle of friends, or for most students, someone in your parents’ circle of friends, who can certify the document that needs to accompany your application that has to be submitted this week. Harsh life lesson about procrastination aside, there may be a way to save yourself some aggravation.
